General SECURITY

Given our focus on enterprise clients, including legal and insurance processes, we recognize the need for security when providing our transcription services.

All aspects of our processes, including Facilities, Team and Information Processing, have security checks in place, to ensure clients’ security requirements are met at all times. More details about security are available by visiting our additional Security pages.

FACILITIES SECURITY

We take pride in providing high security facilities for our clients who need the next level in privacy and confidentiality.

And we’ve put a lot of thought into how our facilities are set up to meet these needs.

  • The main doors to the office are always locked, with access restricted to employees only.

  • No electronic recording devices are permitted on the production floor. Employees have access to lockers where they leave their cell-phones prior to entering the floor.

  • Our offices are protected by a monitored alarm system that is armed outside of office hours to ensure no external breach of our facilities.

  • In addition to these features, we have an additional high security zone that is nested within the main facilities and only accessible to Canadian federally cleared employees.

TEAM SECURITY

Unlike other transcription companies, we specialize in providing transcription services to clients who need confidentiality.

And our Team gets it too.

  • Depending on client security requirements different staffing options are available, including offsite contract and onsite employee staff.

  • All Team members, both contract and employee, go through a criminal background check.

  • All employees work onsite at our Facilities.

  • For clients that require an additional security measure, certain employees go through a Canadian federal fingerprinting and security screening process.

 INFORMATION SECURITY

Since it’s now a digital world, information security is key to ensuring security and privacy of client data.

And we’ve got both onsite and cloud options depending on client needs.

  • Clients can choose between cloud and onsite data hosting and backups

  • Data on servers and workstations is encrypted at rest

  • All files are processed on password protected employee workstations.

  • The entire infrastructure is protected by a firewall and regularly updated anti-virus software.

  • Through domain access control measures, staff only have access to accounts/projects they are authorized to work on.

  • Staff internet access is limited to sites that are required to process client work.

  • Team leads have access to appropriately password protected corporate email accounts for client communication. If clients require password protected attachments, they are provided with the same. In most cases, we upload client files directly into their systems to ensure a completely protected closed loop.
